VGBC Board Meeting

October 11, 2006

 

Location:  43244 Preston Ct, Ashburn, VA

Attendees: Phil, Debby, Allyson, George, Terry

 

Voting Results:

q       Overwhelming results with 3 of referendums:

·        #1 Casino Night (yes - 28: no – 10)

·        #2 Christmas Party ($400 – 25, No – 9 yes, but other $ figure –5)

·        #4 Budget (yes – 38: No – 0

q       #3 Monthly assessments was close. (yes – 20, no – 19)

·        Solution seen as a compromise for the vote

·        Make 4 equal quarterly assessments, about $200 each

·        Would be able to back up amount by the approved budget

·        Overall budget is almost an 50 / 50 split between assessments and fundraising

·        Assessments in June, Sept, Dec, Mar

·        Members would know they were coming and be able to budget / plan for them

·        Easier for the treasurer to maintain and enforce

q       Casino night passed: 

·        Time to get ball rolling

·        Send out email to find those that volunteered on ballot without name (Terry)

 

Fundraising:

q       SCRIP

·        July to present profit of $1200

·        11 families are contributing 70%

·        Possible have a Competition between levels

o       Prize - day of no conditioning – check with Melanie (Phil)

·        Make it accessible – have someone sell it at the gym

·        Level 5/6 needs someone – ask Michelle Cooper??? (Allyson)

·        Talk to Melissa if she has ideas to make it available to Level 5/6 (Phil)

q       Vending Machine

·        September to present profit:  $1354

q       Car Wash

·        First:  $715

·        Second:  $ 176

·        Third:  cancel – no sign-up, cold weather

q       Leo Sales:  $1937

q       Birthday Party Raffle done by Julie Hertel

·        Done in conjunction with Leo Sales $104

·        Was Birthday Party given to us by APEX? )

·        Need to confirm details from Julie (Terry)

q       Corporate Sponsors

·        Still coming in

·        Mary Coyle called all of existing sponsors to see if the would renew, not much positive response

 

Upcoming Fundraising:

q       PlayNAround gym across street

·        Having an Open house – invited us to set-up table to sell wreaths

·        Nov 5th – need to check if Mary Beth Schaal to help coordinate (Terry)

q       Yankee candle Sale:  Barbara Entremont

q       Redskins Tickets Raffle:  Maria Crawford chair, Debby gave tickets to Terry

q       GK Leos:  Tish O’Donnell

q       Christmas Wrap 12/ 16 & 17:  LaShon Davis

q       Used Leo Sale:  Chairman - Leslie Perez – need to check status (Terry)

q       50/50 Raffle

·        Meriellen Tibbets was willing to do

·        Need to check to see what status is (Phil)

q       Z-Pizza Night

·        Debby checked with Z-pizza as a possibility

·        Got information to share with Meet concessions people

·        Need email to find a chairperson (Terry)

 

Family Job List:

q       11 families not signed up, 9 jobs left

q       Reminder email has gone out

q       Check if a job can be assigned

q       Other option to send a notice that if not sign up, then automatic in the “Opt-out” program and pay the assessments

 

Financial Update:

q       One family late with payment plan

·        George has made contact a number of times

·        Is there a penalty for late payments?  Should there be? – no decision

 

Increase Fundraising:

q       Have Level Reps poll each member, regarding SCRIP (Debby)

·        Do you buy SCRIP? Yes / No

·        If No, why not?

q       Store Card % (similar to programs in which grocery stores can have customer cards linked to schools)- can it go to VGBC?  (Debby)

q       Send other thoughts by email to all

 

Next General Membership:

q       Was agreed to have quarterly meetings

q       Next one should be scheduled (Phil)
