VGBC Board Meeting

January 17, 2007

 

Location:  18592 Colston Ct, Leesburg, VA

Attendees: Phil, Debby, Allyson, George, Terry

 

Fundraising:

q       Status of current amounts given by Terry

q       In comparison to last year, we are about 1/3 of last year at this time

·        Big hit on Corporate Sponsors

·        Owe APEX money for hanging the banners

·        Not sure of cost of all the banners, still waiting for invoice

·        Question if banners need to be redone – can you read them? (ALL)

q       Emerald City Classic

·        Should make more than last year – there are more gymnasts

·        APEX charges a per gymnast fee

·        Gym will be closed Thurs/ Fri/ Sat/ Sun

q       Need to implement Changes to SCRIP for level 5/6

·        Feed back from Level Reps:

¨        Out of sight – Out of mind

¨        Many use credit cards for point / miles

·          Is it worth it to set up credit card payment on website? (Terry)

·        Michelle Cooper and Andrea Donofrio are both willing to help

·        Need to set up meeting with Melissa / Michelle / Andrea (Debby)

 

Refund Policy:

q       We have received some money back for scratches

q       Need to clarify a policy for refunds of returned meet fees

·        No Refund

·        Injury only

·        If money returned, individual should get some money back

q       Decision:

·        If money returned by host gym, %of fee that was assessed will be refunded.

 

Participation Issues:

q       Members that have 0-2 participation points were listed

·        Continue to monitor those that participate (Terry)

·        At this time, no one has “opted out”

q       Phil did further investigating into individual credit for fundraising

·        Advise from lawyer of what risk would be to VGBC

·        If lose non-profit status – lose ability to sell SCRIP

·        Advise of liability to board members – need more info (Phil)

·        Tax ramification if lost non-profit status (George)

·        Need to have form 1031 and Articles of Incorporation on file (Phil)

·        Need more information on form 1031 (what is it, do we have it?) (George)

 

 

General Membership Meeting:

q       Idea to have at Library

q       Scheduled for February 17th , 10:00

·        Verify that Library has an open room / times (Phil)

q       Agenda Items:

·        Fundraising Status

·        Car wash Dates

·        Car wash chairs

·        Fundraising Participation

·        Willing to make SCRIP an individual fundraiser

·        Casino Night – Status, chairs

·        Refund of Meet fees Policy

q       Store Card % - can it go to VGBC?  (Debby)

q       Send other thoughts by email to all

 

Other:

q       Discovery that taxes were not paid 2 years ago

·        George got paperwork together and had them paid

·        IRS assessed a fine of $5700

·        George worked hard and IRS accepted hardship waived fine

q       October  11, 2006 minutes approved

·        Send to Terry for website posting (Allyson)
